Projects & Compliance Coordinator
The Opportunity
As the Projects and Compliance Coordinator, you will coordinate the delivery of asset renewal projects, preventative maintenance programs and compliance activities across Reflections’ parks and reserves. You will support the lifecycle management of buildings, infrastructure, services and environmental assets to help ensure safe, compliant and sustainable operations.
Working across a geographically dispersed portfolio, you will deliver asset and infrastructure upgrades, manage reactive minor works and support key deliverables within the Strategic Asset Management Plan. You will work closely with Park Managers, internal stakeholders, consultants and contractors while also assisting with the implementation of new asset management and maintenance software.
Part time role working a 4 day work week
Key Responsibilities
The successful candidate will be able to:
- Coordinate asset and infrastructure upgrades and reactive minor works across Reflections’ parks and reserves, including project scoping, tendering and participation in design concept reviews.
- Ensure project planning and delivery comply with statutory requirements and organisational policies relating to work health and safety, environmental protection, development consents and approvals.
- Manage project close-out activities, including budget tracking and the completion and management of relevant project documentation.
- Coordinate and track preventative maintenance programs and costs, report on asset management compliance and escalate identified matters of non-compliance.
- Maintain legislative and regulatory inspection programs, including emergency, bushfire and asbestos management plans, vegetation management plans, arborist tree safety programs and annual compliance activities.
- Develop scopes of work, procure services and manage consultants and contractors, while maintaining proactive communication and negotiating agreed outcomes with key stakeholders.
About You
You’ll bring:
- A qualification, or substantial completion of a qualification, in Property, Asset Management, Project Management or a related field—or substantial relevant industry experience.
- Experience coordinating multiple competing projects across a geographically dispersed portfolio and applying best-practice project or asset management processes.
- Contractor management experience within a customer-facing industry, including compiling contracts for external work engagements.
- Demonstrated experience scoping projects, seeking fee proposals, reviewing quotations and engaging consultants and contractors to deliver work on time, within budget and to the required quality.
- Extensive experience using property or asset management software, supported by advanced computer skills and proficiency in Microsoft programs, including Teams.
- Strong communication, negotiation and stakeholder-management skills, together with a current unrestricted driver’s licence and willingness to travel.
